Introduction

UChicago Impact at the University of Chicago is committed to protecting the privacy of the users of the School Survey site. This document explains our policies on the collection, use, disclosure, retention, and protection of this site's user information. Our privacy and confidentiality policies are intended to comply with relevant laws and University of Chicago policies.


Additionally, UChicago Impact utilizes a third-party web development company, Caktus Group, that supports the security, stability, and functionality of this survey site. As a partner to UChicago Impact, Caktus Group adheres to strict data security policies, as outlined below, and supports UChicago Impact’s adherence to the policies outlined below.

Data Security Policy

UChicago Impact employs a number of strategies to secure data and limit unnecessary access during the transfer (survey process), storage, and processing. We encrypt data in transfer as well as at rest, when it is being stored in their data repository. We change encryption keys on a regular basis to avoid stale credentials and unwanted legacy access. Data is regularly obfuscated for analytics and reporting purposes in aggregated, rolled up at the classroom, instructor, school or district level. UChicago uses data isolation and centralized oversight of user accounts and monitors access across our systems with auditable logs.

Collection of Personal Information

UChicago Impact records and maintains information about registered users of this site. We must maintain certain information (login name, email address, site password) in order to provide you with access to restricted areas of site.


UChicago Impact will maintain confidentiality of information sought or received and other personally identifiable data regarding use of the materials and services of this site. UChicago Impact, and its third-party development company, Caktus Group, will not make this information available to any other entity outside the University of Chicago, except as required for operational purposes or required by law.

Information Collected When Using the Website

When any registered or public user visits this website, certain information is gathered and stored automatically. This information does not generally identify the user personally. Information that is automatically collected and stored includes:

  • The Internet domain and IP address from which the website was accessed
  • The type of browser and operating system used to access the site
  • The date and time the site was accessed
  • The pages visited
  • The user ID of the person accessing the site

How Personal Information is Used

In order to administer its surveys in a secure and accurate manner, including calculating accurate response rates, and to enable the production of reports for districts and schools to use to promote improvement, UChicago Impact collects the following information via rosters provided by appropriate educational personnel from its LEA partners:

  • First Name
  • Last Name
  • Grade Level
  • School
  • Language
  • Student ID
  • Gender
  • Race/Ethnicity
  • Date of birth
  • English learner status
  • FRL status
  • Diverse learner status
  • Survey responses

Personal information you provide and information that is automatically collected is only used for technical troubleshooting, to monitor compliance with acceptable use, to improve the usability of our website, and to record statistics for reporting purposes. We may also occasionally send registered users administrative messages about the site.

Privacy of Survey Data and Results

UChicago Impact complies with agreements about confidentiality and data use with districts providing that data.
